Deleting Objects
General
The Delete action does not permanently remove an object, but instead moves the object to the trash.
Permanent deletion can only be done from the trash.
In this action, the object, its sub-objects, and the object's revisions are moved from the document archive to the trash.
You must have Write permissions for the object in order to perform the deletion.
You can still restore the object from the trash back into the system.
If an object has been moved to the trash, you cannot create a new object with the same identifier until the object has been permanently deleted from the trash.
Move a Single Object to the Trash
(1) Click on the dropdown menu next to the object's name, e.g., Document.
(2) Select the Delete action.
(3) Confirm the deletion by selecting OK.
Only a user belonging to the System Administrator group can move an object to the trash if its revision history includes a revision with a status property set to "locked" (Never overwrite). Typically, this status is "Approved."
Move Multiple Objects to the Trash
You can easily delete multiple objects using the collection basket.
(1) Search for objects using the search function.
(2) Select the objects to be deleted from the search results.
(3) Select the action Add to Collection Basket or Add All to Collection Basket.
(4) Once all the objects to be deleted are in the collection basket, select Move to Trash.
(5) Confirm the deletion by selecting OK.
Checkin an Object from the Trash if Needed
You can undo deletions and restore objects from the trash back into the system to their "original locations."
(1) Select the Archive tab.
(2) Select the action Tools > Trash.
(3) Select the object(s) to restore.
Click the Select title if you want to select or deselect all contents of the trash.
(4) Select the action Checkin...
You may need to confirm the restoration by selecting Checkin... again.
After a successful restoration, the object will be removed from the trash and found in the archive.
Permanently Delete an Object
You can permanently delete an object from Flow by removing it from the trash.
(1) Select the Archive tab.
(2) Select the action Tools > Trash.
(3) Select the object(s) to delete.
Click the Select title if you want to select or deselect all contents of the trash.
(4) Select the action Delete...
Flow will mark the objects to be deleted with a strikethrough.
(5) Confirm the deletion by selecting the Delete... action.
After successful deletion, the object will be permanently removed from the trash and no longer found in the archive.
Note: When an object is deleted from the trash, it is also removed from the server's hard drive along with its attachments. Therefore, the object can only be restored from backup media.
On Deleting Items
Items that are part of another item’s product structure cannot be deleted.
Such items are moved to the "Discontinued" status, where they still appear in the product structures of delivered product revisions, but cannot be added to new structures.
Moving an item to the "Discontinued" status requires System Administrator rights.
