Documents Needed for Maintenance and Repairs
Maintenance and repair personnel work in geographically defined locations such as factories, departments, rooms, or machinery and process lines. Those performing maintenance work want to easily find the documents related to the specific items. In this case, document searches should be conducted based on the factory, machine line, or equipment. The adjacent image shows a scenario where views are tailored to meet the needs of professionals involved in machine maintenance.
Documents related to the machine being serviced or repaired may have originated during the project that implemented the machine line, and they would still be easily accessible if the project identifier were known. Over time, the significance of the implementation project as a consolidating factor for documents diminishes or becomes meaningless for new maintenance personnel.
Documents Related to Monitoring the (Production) Process
Complex processes are accompanied by extensive documentation, including information on the process operation, set values, directives related to quality systems, operational instructions, and safety and occupational health guidelines.
According to a traditional classification system, a document can be categorized as, for example, a manufacturing instruction (with subcategories such as models, drawings, and product structures), maintenance instructions, quality documents, or safety-related guidelines.
With such a classification system, it is possible to search for all quality documents or safety instructions at once. However, when process management (e.g., water supply, steam production, and flue gas management) is introduced, the aforementioned classification system may no longer serve the personnel responsible for process monitoring effectively.
For this purpose, so-called views can be created, and documents can be linked to these views. This allows for searching for all quality, work, maintenance, and safety instructions related to steam production, for example.
Views Related to Product Range
Documents related to manufacturing, usage, and maintenance are often categorized in the manufacturing industry with a focus on the needs of purchasing and production (the classifications of Flow and ERP items), making product or product family information less effective as search criteria.
For the product range, views can be created, and documents can be linked to these views. This allows for easily finding all documents related to, for example, braking or lubrication systems at once.
Documents Related to Factory Facilities (Factory Design or Maintenance)
When a facility, its department, or production line is being partially renovated, information about the old system and equipment is often required. This information is needed either as a basis for the new plan or to determine how the new equipment can be sensibly integrated into the old line.
In such cases, it is important that the documentation can be accessed through the machine, production line, or a specific process, rather than having to search through folders compiled by the equipment or line supplier or from project files. It is possible that the equipment on the production line has come from various projects over time, and therefore, it can be found through these multiple projects.
