Project-specific roles and permissions

General

With project-specific roles and their permissions, you can inherit permissions to project-related documentation, including the item structure.

  • Project stakeholders receive permissions, but roles in Flow differ from other groups in that members of a role group are not pre-named: Each project can have its own role assignments.

  • For example, the project manager's permissions can remain consistent while the person changes for each project.

Inheritance of permissions from project-specific roles applies only to items and documents associated with a single project.

About Permissions in General: User Permissions

Define roles

Roles can only be defined by the main administrator.

(1) Select the user menu action Portal.

(2) Select System Administration > Users and Permissions > Roles.

(3) Create a new role by selecting New.

  • Flow opens the Create Role dialog.

(4) Accept or enter the role's internal identifier in the Role ID field (as shown in ROLE_1).

(5) Enter the clear name of the role in the Name field.

(6) Enter the description of the role in the Description field.

(7) Enter the order of roles in the Order field.

  • Roles will appear in the interface according to this field's order.

(8) Save the role information by selecting the Save action.

Define project roles

You need the All permission for the project to be able to modify the project organization.

(1) Select the project.

(2) If necessary, open the Project Organization section.

(3) Click on the role field, e.g., Project Manager.

  • Flow opens a list of available users.

(4) Select the project manager from the Available Users list.

(5) Move the user to the Selected Users section by clicking the button.

(6) Add the necessary role assignment by repeating steps 3 ... 5.

Define role permissions

On the project's permissions page, you can specify the permissions for the roles to which you have added individuals on the project card (or which have been defined by permission rules).

Define roles to the subproject

By default, a sub-project inherits the project's project organization.

  • You can also define a separate organization for the sub-project by using the Create own organization button.

Return the main project's roles to the subproject

You can restore the original organization for the sub-project by clicking the Use main project's organization button.
